Frequently asked questions
Getting started
1. Who is Dispatch for?
Independent truck dispatchers, small dispatch services, and small fleets that call brokers about loads every day. Solo covers up to 5 drivers and Pro covers up to 20. If you're an owner-operator who finds your own loads, it works the same way: add the load, and the AI makes the broker call. [NEEDS LAWRENCE: keep the owner-operator line? Legally it's fine; this is a positioning call.]
2. How do I get set up?
- Create an account and pick Solo or Pro.
- Add a card to start your 7-day free trial. Unless you cancel during the trial, your plan renews automatically every month and your card is charged ($49 for Solo or $149 for Pro, plus tax) starting when the trial ends. One free trial per customer.
- Add your company's registered business name and the callback number brokers can reach you at (both required before the AI can call), plus your MC number. The AI uses them when it calls.
- Create a load with the pickup, delivery, rate, and the broker's phone number from the load posting.
- Open the load and click Call for Info.
Want to see your drivers on the map? Invite them to the Driver app.
How AI calls work
3. How does an AI call work, step by step?
- You open a load and click Call for Info. The AI only calls when you click.
- The AI calls the broker number on that load.
- It tells the broker who it's calling for, that it's an AI, and that the call is recorded, and asks if that's okay. If the broker doesn't clearly say yes, the AI ends the call and the recording is deleted.
- It asks if the load is still available, then gets the details like pickup, equipment, and appointment.
- It asks for a better rate.
- It wraps up without booking anything. It says your company will follow up, and it gives your callback number.
- The transcript and the outcome save to the load. You read them, then choose to apply the rate or propose the load to a driver.
4. What does the broker hear?
Every call starts like this:
"Hi, this is Hailey, an AI assistant calling on behalf of [your company]. This call is recorded. Is that okay with you?"
If the broker says yes, the AI asks about the load: "Thanks. I'm calling about your [pickup city] to [delivery city] load, [picking up tomorrow]. Is it still available?" Before it hangs up, it gives your callback number.
The AI says it's an AI at the start, and again any time it's asked. It never claims to be a person. If the broker would rather talk to someone, doesn't want to be recorded, or asks not to be called, the AI gives your callback number and ends the call. If the broker asks not to be called, the number goes on our do-not-call list, and no Dispatch customer's AI will call it again. If it gets voicemail, it leaves a short message with your company name and callback number.
5. What will the AI do, and what won't it do?
It will: call the broker on your load, confirm the load is still available, get the details, ask for a better rate, and save the transcript on the load.
It won't: book the load, accept a rate, sign a rate confirmation, or promise anything for you. It also won't text your driver. It won't share your carrier documents or set up carrier packets. Nothing is booked until you book it. You make the call on the load.
Pricing and plans
6. How much does it cost?
The price is based on how many drivers you run, not on how many calls you make.
- Solo: $49/month for up to 5 drivers. AI broker calls included.
- Pro: $149/month for up to 20 drivers. AI broker calls included.
There's no per-call charge and no overage. Prices are in USD, plus sales tax where it applies, calculated at checkout from your billing address. Your subscription is sold through Link, an affiliate of our payment processor Stripe, which handles checkout, tax, and receipts for us. Your card statement shows LINK.COM\* SLEEPYSQUID.
7. Is there a limit on calls? What does "fair use" mean?
Not for normal use. Calls are included for the day-to-day work of one dispatch business. Our Terms set a monthly fair-use limit on connected call time for each plan so one account can't run thousands of calls. If you ever reach it, a call already in progress still finishes, new calls pause until your next billing period, and we'll help you move to Pro if you're on Solo. If you're on Pro, email us and we'll talk through options. We never charge for overage.
8. Do calls that don't connect count?
No. A busy line, no answer, or a dropped dial uses nothing. A voicemail counts only the time the AI is on the line.
9. What happens if I add more drivers than my plan covers?
Solo covers up to 5 drivers. If you add a 6th, the app asks you to move to Pro, and the price is prorated. We never upgrade you or charge you automatically. Running more than 20 trucks? Email us at support@sleepysquid.com.
Trial and cancelling
10. How does the free trial work?
Pick a plan and add a card. You get 7 days to run real calls on your own loads. You won't be charged during the trial. If you don't cancel before the 7 days are up, your plan starts automatically and your card is charged $49 (Solo) or $149 (Pro), plus tax, then again every month until you cancel. Cancel anytime during the trial in Billing and you pay nothing. One free trial per customer.
11. How do I cancel?
Go to Billing in the app and cancel there, anytime. You can also email support@sleepysquid.com. When you cancel, your plan stays active until the end of the period you've paid for, and you won't be charged again. [NEEDS LAWRENCE: refund policy; same marker as Terms §11.]
12. Who bills me, and why does my statement say Link?
Dispatch is offered by SleepySquid LLC. Payments are handled by Sold through Link, LLC ("Link"), an affiliate of Stripe, which sells the subscription for us. Link runs checkout, collects tax, and sends your receipts. Your card statement shows LINK.COM\* SLEEPYSQUID. For help with a charge, email support@sleepysquid.com.
Recordings and data
13. Are calls recorded? What happens to my data?
Yes. Every call is recorded and transcribed, but only after the broker agrees at the start of the call. If they don't agree, the call ends and the recording is deleted within 24 hours. [PENDING: true once the declined-call purge (recording-consent PR) is live.] The recording, the transcript, and the call details save to the load in your account. We use them to run the service, and we don't sell them. [PENDING: true only after Retell confirms in writing that our call data is excluded from model training (must-fix 4.4). Don't publish this sentence before then.] We don't use them to train AI models. [PENDING: true once Retell's 90-day retention is set and published and the declined-call purge is live. Don't publish this sentence before then.] We delete recordings and transcripts 90 days after the call. Call details, like the date, duration, outcome, and any rate saved to the load, stay with the load. You can ask us to delete your data at support@sleepysquid.com. The full details are in our Privacy Policy.
14. What does Dispatch do to keep calls respectful and transparent?
The AI calls only when you click, only the number listed on your load, and only about that load. It says up front that it's an AI and asks permission to record. It calls only between 8 a.m. and 8 p.m. in the broker's local time. It gives your callback number, honors do-not-call requests across all Dispatch customers, and never pretends to be a person. You're responsible for how you use Dispatch, including following the laws that apply to your calls, as our Terms explain. Laws differ by state. If you have questions about your own situation, talk to your lawyer.
